Everyone who types or edits text in the Word program strives to increase the speed of work, find such algorithms that would allow them to concentrate on technical details as little as possible and devote as much time as possible to immediate creative or professional tasks. One of the reserves for increasing efficiency is, of course, the ability to use keys. And when editing, and when writing text (for example, when quoting), perhaps the most popular function is copying with further insertion. To do this with the mouse and the menu is extremely irrational. This article is devoted to how to insert text using the keyboard. This is especially true when working on a laptop.
How to select text
Before you insert text, you need to highlight it, of course. Most often, when working in a text editor, the keyboard and mouse are combined. Using the mouse, itβs easy to navigate, quickly move from page to page, put the cursor in the right place, so you can often see how the text is selected with the mouse, and copied and pasted with the keys. However, changing a tool takes a rather large amount of time and reduces efficiency, so it is better to select text using the keyboard.
The working keys for this are Shif, Ctrl, arrows, Home, End, A (Latin). Their different combination allows you to select different fragments, but now we will focus on the most popular options:
- Select all (news text). Ctrl + A (Russian ). Most often, this opportunity is used if you want to make all the contents of one file part of another.
- Highlight one or more words. Ctrl + Shift + arrow (right or left). Place the cursor in front of the first word of the fragment that you want to copy and paste, press the Ctrl and Shift keys, and then press the right arrow until the desired fragment is selected. Each press of the arrow will highlight one word. The same logic with working in the opposite direction (the initial position of the cursor is behind the last word).
- Select one (or parts) or several paragraphs. Ctrl + Shift + up or down arrow. If the cursor is before the first word, then by pressing the down arrow you highlight the paragraph, but if it is in the middle, then its part from the cursor to the end. Each subsequent press will highlight a fragment of text to the paragraph mark.
- Highlight a sign. Shift + arrow left or right.
- Select a line. Shift + up or down arrow.
Deselect
It is equally important to be able to cancel or adjust the selection.
If you need to clarify the selected area (for example, if you select something unnecessary), then you can use the same commands, meaning the reverse logic (i.e., returning to the position back).
If you need to cancel the entire selection, then just release the working keys (Shif and Ctrl) and press one of the arrows.
The first way to copy and paste
There are at least two ways to insert text using the keyboard. In the first method, the following keyboard shortcut works:
- copy: Ctrl + C (Latin);
- paste: Ctrl + V.
This operation is usually performed with one hand. This combination is often used by those who work, for example, with the Adobe package, since in these applications copying and pasting are carried out using these keys.
The second way to copy and paste
Itβs also appropriate to know the second way to insert text using the keyboard. In this case, the base key is Insert:
- copy: Ctrl + Insert;
- Paste: Shift + Insert.
This method most often involves the use of two hands (the right one for Insert, the left one for the working key). His knowledge will come in handy when working with browsers.
Multiple insertion
It is often required to insert the same piece of text in different places. If such an amendment does not imply the use of automatic search and replace, then it can turn into a real test for the author or editor. It is more convenient to navigate through the text with the mouse, and insert text using the keyboard. Constantly pressing two keys is very inconvenient - this leads either to errors or to unpleasant physical sensations (since the hand must constantly be in the same position and make the same movements). Therefore, in such cases, it is advisable to know how to insert text using the keyboard repeatedly. It is very convenient to use the repeat function.
Insert for the first time in the way you think is convenient, and then press the F4 function key (repeat).
Copy and paste within a single document
Often, knowledge is also required on how to paste text in Word rationally if the copied fragment is in the same document, and often in the same paragraph, as the place where you want to paste it.
In this case, it is more convenient not to delete the text from the original place and paste it to a new position, but simply to move it.
To do this, select the desired fragment and press the F2 key.
Move the cursor to where the insert should be, and press Enter. The text will move.
Cut text without deleting
Moving text with the F2 key is sometimes inconvenient: for example, if the place to insert is not yet defined or if you want to duplicate the insert.
In these and other cases, you can use the so-called cut function: the program will delete the text, but remember it in the clipboard. To do this, remember the combination of Ctrl + X (Latin) and / or Shift + Del.
In general, the refusal to copy and paste with the mouse can significantly speed up the work, reduce the physical load on the hand that works with the mouse, and reduce the number of errors (will make the work more clear and precise).
