Props - this is an information element of the document in accordance with GOST records management and archiving. The definition affects securities with official status. First of all, we are talking about documents published by state bodies.

Requirements are contained in regulatory acts of various levels, ranging from federal laws to the internal regulations of organizations.

The system of bodies adopts regulations by which document management is organized. For example, an instruction for working with documents in the courts has been adopted. Separately adopted acts on district, regional and equivalent courts, there is an instruction on working with documents in the Supreme Court.

And so in every organization or system of bodies (prosecutors, ministries and departments).

Regional authorities rely on federal standards; recommendations are often developed that are then applied by regional bodies, although they are not directly subordinate.

What elements are provided

Document requisites are graphic and textual elements. The first group includes signs and images that must be present in accordance with a law or other regulatory act.

On papers published by authorities, there are coats of arms, images. The second group is a lettering of alphanumeric character. The name of the organization that issued the document, or information about the official, his surname and initials.

All the elements, one way or another, help to identify the document, its affiliation and carry additional information.

The significance of the elements

The legislation provides for two groups of details that make up official documents:

  • Mandatory
  • additional items.

Mandatory Items

They include details, without which there are doubts about the legality of the document or its validity. For example, there is no seal or signature of an official, or they are, but damaged.

The GOST lists all the elements and then explains which of them are mandatory and which are optional. The features of the forms are provided.

In any case, the required details are:

  • Name of the organization;
  • information about the official (surname, initials);
  • document's name;
  • Document Number;
  • date of its adoption or (and) publication;

The set is supplemented depending on the circumstances or provisions of the law.

Additional items

Their sources are departmental acts. For example, ministries or departments agree on how to draw up acts affecting their joint field of activity.

As an additional element, in particular, the stamp of approval of the document is used. Often on the forms “I affirm” is pre-affixed and the place where the signature is put is left.

It is proposed that other officials put their signatures. This confirms that the document went through a number of officials, unfortunately, such an approach does not give anything but an additional burden.

Practical implementation

The presence of elements is determined by authorship. Even in one organization, for example, a district court, each judge has his own opinion on how to issue a decision. We even have to consult with colleagues. No matter what unification attempts are made, local specificity always remains.

In practice, there are cases when violations of formalities regarding registration serve as the reason for the cancellation of the decision by a higher authority or in court. Therefore, it is worth studying the practice of applying legislation in a particular area.

Thus, requisites are an integral part of official documents, without them the latter lose their significance.
