What is the specification for the contract

Drawing up contracts is a difficult and responsible task. There are no trifles. Every number and every phrase is important. If necessary, separate annexes are drawn up to the contract to clarify and the specifics of individual issues. One of these documents is the specification to the contract.

What is a specification

contract specification
Many engineering, legal and other terms are usually Latin names. Specifically, specification means a kind of variation of something. Any field of activity provides for the conclusion of various types of contracts: contracting, delivery, rendering of services and others. They sometimes need to clarify the parameters of the subject. For these purposes, a separate document is compiled, which is called the "specification".

It is clear that each subject or object has its own characteristics and indicators. So, the specification to the contract contains a list of all the necessary parameters that this or that object must correspond to. Take, for example, a contract of sale. Two parties enter into an agreement that one of them buys and the other sells certain goods. In this case, the specification to the contract should be drawn up, which will make it possible to clarify the quantity, quality and assortment list of the supplied products.

This document is compiled as a separate annex to the contract. It is a table or list in which the entire product is listed in detail with an indication of all the features that characterize it. Acceptance and dispatch of products in this case is carried out precisely on the basis of such a list. In the text of the contract, a reference must be made to the specification indicating the application number. The specification for the contract is usually made in the form of a table, which contains the following items:

  1. Serial number.
  2. Name of goods (same as on invoice).
  3. Conformity of products to specific GOST.
  4. Unit of measurement for the item.
  5. Quantity of goods.
  6. The total amount of the contract without VAT.
  7. Amount of VAT.
  8. The amount of the contract with VAT.

If necessary, other parameters can be added that distinguish a specific product from the rest.

Features of the supply contract

delivery contract specification
To be sure of the quality of the purchased products, it is better to work with a regular supplier. Therefore, as a rule, relations between enterprises are most often not one-time, but long-term. In this case, it would be wiser to conclude one annual contract for the supply of products by period. The specification for the supply contract will be an assortment list of products intended for a single transaction. It clearly specifies the terms and conditions of delivery, and also determines the form of calculation, conditions, amount and period of receipt of payments.

The specification additionally contains data on the place of unloading. Like the contract, it is signed by two parties to the agreement. This document is considered an integral part of the core and is binding on both parties. The specification is carried out in several copies: one for each of the parties. The delivery of products in violation of the conditions specified therein shall be deemed to be non-fulfillment of the contract in due measure and shall entail the corresponding consequences.

The essence of the technical specification

data sheet
In engineering practice, there is such a thing as a “technical specification”. In fact, this is also a list of characteristics and features that are inherent in a particular subject or object. At the enterprise it is often used in the preparation of technical documentation for the manufacture of complex structures. In assembly drawings, such a specification gives a complete picture of a single part and its components. It is needed in order to indicate in detail the completeness of the product or the entire assembly.

This method of compiling a document is used by specialists of marketing departments to formulate commercial offers for manufactured products. Such a specification gives a complete breakdown by name, completeness and number of assembly units. It contains all the data on the price and volumes of possible deliveries. Such a technical document can serve as an excellent assistant to the marketer in the procurement of necessary parts, equipment or other goods.
