Filling out the logbook for maintenance of fire extinguishers is one of the most important components of the organization of fire safety in any institution. How to do it right? Who is responsible for maintaining such a document? Let's look at the answers to these questions.
Fire extinguisher maintenance log
This is a document where all data on fire extinguishers (OT) on the balance sheet is recorded.
The purpose of logging is to monitor the health and placement of these devices in accessible places.
According to the rules, the fire extinguisher maintenance log is also referred to as the “log book”. Both options are acceptable.
The name "primary fire extinguishing journal" is found.
Pay attention to this condition: even if the phrase “maintenance”, “check”, “recharge” does not appear in the title of the document, it should still contain data on all these procedures.

Information on how to keep a log of fire extinguisher accounting and maintenance can be found in Code of Practice 9.13130.2009, paragraph 4.5.4.
Some additional data necessary for maintaining this document is referred to in GOST R 51057-2001.
If the company uses not portable but mobile OTs, there is a separate GOST R 51017-2009 for them.
What data should be recorded here
According to the requirements of the legislation, the following information should be contained in the logbook for maintenance of fire extinguishers:
- OT brand (data on the active substance).
- Inventory number.
- Date of registration at the enterprise.
- Location.
- Date and results of the initial examination.
- The number when all further surface and complete examinations were conducted.
- The dates of all checks and / or replacements of the active ingredient charge.
- The number when OT performance tests were carried out (including the strength of its nodes).
- Data about the service that performed all these procedures.
- Information about the person responsible for maintaining the journal (position, name and signature).
Components
The legislation does not strictly regulate the form of maintaining this accounting document, requiring only a clear fixation of the necessary information. Therefore, a certain freedom is allowed in the design of the journal for accounting for fire extinguishers.
It must have three mandatory components:
- Cover.
- The main part (general data on all fire safety devices in the institution).
- Detailed data for each fire extinguisher separately.
In addition to these main components, the accounting journal may contain additional informational inserts. It can be:
- Extracts from the Code or GOST.
- Operation manual for each OT.
- Memos.
- Contact details of organizations (persons) carrying out maintenance of fire extinguishers.

There are several ways to create a similar document.
The oldest of them is to draw all the graphs manually. However, in the era of computer technology, it is easier to download a sample magazine for the maintenance of fire extinguishers from the Internet. After printing, you need to bind it.
In addition, in most printing stores pre-made forms are sold that meet all the mandatory requirements.
If you wish, you can create your own version using graphic and text editors.
As for the filling of the magazine, it can be done both by hand and by printing. The main condition is that all signatures and stamps must be in the original.
Cover art
Nothing is written on the cover of this document. The first entries must be made starting on the third page.
It should contain the following data:
- The name of the institution in which the journal is kept.
- If necessary, data is entered on its structural unit.
- Date of filling in.
- The date the document is maintained. It must coincide with the start date of the new magazine.
The last page should indicate:
- The total number of sheets in the document.
- The date of its firmware and sealing.
- Signature and full name head of the institution.
- Wet seal.
Example of filling out a fire extinguisher maintenance log: main body
This section of the document is filled in in any form. The main thing is that it contains the necessary data regarding the operability of all fire extinguishing means.
Below is an example of the design of the main part of the magazine.
The order of placement of all columns may be different. The main thing is the availability of all this information.
If the document is completed on a computer, then in this case the signature of the person responsible must be put down by hand.
The disadvantages of this form are the absence of the column “Notes” or “Recommendations”. It indicates which deficiencies should be corrected. If they are not, a dash is put.
The number of pages allocated to the main part depends on the number of fire extinguishers on the balance sheet. It is necessary to calculate the number of pages in the journal for five years of record keeping. It is important to consider such mandatory planned activities:
- Quarterly inspection for external damage.
- Annual full inspection of fire extinguishers.
- Health Check.
- Refill once every 5 years (the period depends on the active substance).
Also in this part of the magazine it will be necessary to note cases of the use of fire extinguishers for their intended purpose, verification of the fire inspection, force majeure situations.
Based on all this, the number of required sheets for the main part is calculated.
Filling in the data for each of the fire extinguishers
The second part of the document contains more complete information about each fire extinguishing agent on the balance sheet. It is a copy of the operating passport, which is entered on each OT at the time of its appearance at the enterprise.
The following is an example from a fire extinguisher maintenance log.
As you can see, each device has its own page. Its upper part (header) contains incoming data:
- Inventory number.
- Location (in the office, in the corridor, etc.).
- Type and concentration of active substance.
- Factory number.
- Manufacturer.
- Date of commissioning.
- Date of issue.
Items three, four, five and seven are written out from the data sheet (factory instructions).
Data for points one, two and six are assigned directly to the enterprise itself. The inventory number must be marked on the fire extinguisher itself, and the date of commissioning on the seal.
The lower part of the page is a plate where all the maintenance results (inspections, checks, recharges) and signatures are entered.
If the inspection (primary, quarterly) is carried out at the enterprise itself, the responsible person fills in the columns. In other cases, the data is copied from the operating passport. They are entered into the journal by service employees who conducted a full audit.
There is also a simplified form for this part of the magazine.
It is valid, but less convenient. Therefore, it is better to use the first option.
Who should keep this document
Filling out the magazine and monitoring the state of fire safety at the enterprise should be carried out by any specific specialist. Previously, he is required to undergo instruction and pass the appropriate exam.
These duties may be performed by:
- Head of the institution.
- The assigned person.
Since journaling does not take much time, this work can be performed without interruption from your direct duties. Therefore, creating a separate workplace is not necessary.
