Basic rules for filling out a work book

The main document that displays the activities of a person in any production is a work book. It displays the qualifications of the employee, the organization where he worked, career growth and attitude to his duties. In addition, it is the main source from which information about the experience of workers is taken.

There are certain rules for filling out a work book, which must be followed by the employer or the person who is entrusted with this obligation. The registration procedure is regulated by a regulatory act, which is approved by the Government of the Russian Federation. This document is issued if the employee has been working for more than five days at a place that is considered his main place of work. An exception are those employers who are not registered as legal entities.

If a person has his first job, the rules for filling out work books provide for the entry of data in this document no later than a week from the moment he began his duties, and this is done in his presence. On the first page biographical data is written: name, surname, date of birth (information is taken from the presented passport), position, qualification (based on the document on education).

Abbreviations or corrections to the rules for filling out a work book are not allowed. This includes information about the work performed by the employee, his transfer to another position, about incentives and awards, as well as dismissal. In the latter case, the reason for the termination of the employment contract is indicated. Disciplinary sanctions or reprimands are not written in this document, except in cases where this led to dismissal. However, this is done at the main employer on the basis of the certificate provided, which confirms the additional activity.

All entries must have a serial number in the appropriate section. A sample of filling out work books recommends dates to be written in Arabic numerals, the year in full, and the date and month in double-digit format. The handle is taken with a paste of blue, black or purple. It is not allowed to use gel pastes, as they quickly fade. The handwriting used to make notes should be neat and legible.

If the position for which the employee is employed does not provide for specific knowledge or skills, his profession can be written without requiring relevant documents. With any record that is here, its owner must first be familiarized with the signature.

The rules for filling out a work book recommend writing about the reason for terminating the employment contract with accuracy as formulated in the Labor Code or other normative act. This also includes data on military service, training at refresher courses or retraining with reference to relevant documents. Indicate in the document and incentives for the merits received during work, namely the awarding of state awards, diplomas or something else that is provided for in a collective agreement or the organizationโ€™s charter, or legislative acts.

The employee receives the work book on the day of his dismissal. Moreover, all entries made to the document must be certified by the employer, the company's seal, and the signature of the employee.
